Context

Property operators split the building, the lease, rent, and repairs across spreadsheets and chat. Agencies add a second split: leads and listings that never become a lease in the same database. PySquad Property Management is the Odoo operations desk: property, floor, unit, applications, leases, rent through Accounting, and facility work orders. Property Agency is a second app on top of that: CRM, published listings, viewings, offers, and commissions. Buy Management alone if you only operate. Add Agency if you also sell or let.

The operating reality

Leases, rent, repairs, and listings do not share one unit record

Occupancy lives in a sheet. Rent lives in Accounting with no lease. Repairs live in a group chat. The website listing is a page that does not know if the unit is already let. Missed renewals, late rent, and owner questions all come from that split. An agency that also manages the building feels it twice: the won deal is not the active lease, and the vacant unit is still advertised.

How this is usually solved

Common approaches

  • Keep units and occupancy in a spreadsheet
  • Type rent invoices by hand after the month closes
  • Take repair requests on phone or chat
  • Publish listings on the website with no link to the vacant unit

Where it falls short

  • Nobody sees which units are vacant, overdue, or in notice
  • Extra charges and deposits never hit the right invoice
  • Owners get a pack rebuilt from bank lines, not from the property
  • A let unit can stay on the website until someone remembers to take it down

Core capabilities we implement

Building blocks that keep delivery predictable under real operating load.

Property, floor, and unit

One tree for the building. Parking is a unit kind. Ownership shares add up to 100%, with a primary owner.

Applications and leases

Walk-in applications become leases. Renew, amend, or close from wizards. Rent lines can be monthly, quarterly, or yearly, with prorate.

Rent through Accounting

Scheduled rent, deposits, and late fees as customer invoices. Optional CAM lines and utility meters. Daily jobs can create rent invoices and apply late fees.

Facility work orders

Tickets with SLA, linked to unit and lease. Preventive plans can generate work orders.

Control Tower and occupancy board

Morning view of occupancy, overdue rent, SLA, and leases about to end. The board is for vacant units, applications, and tickets.

Tenant portal

Signed-in tenants use /my/leases and /my/work-orders. Website is required for the portal.

Agency CRM, listings, and commissions

Optional second app. Native CRM opportunities, sale and rent listings at /properties, calendar viewings, offers, reservation quotations, and agent commissions. Needs Property Management installed.

How we approach delivery

  1. Step 1

Map owned vs managed properties, how you let, and how you invoice rent

  2. Step 2

Install Property Management: zones, products, roles, Control Tower, and portal

  3. Step 3

Turn on CAM, utilities, owner statements, or short stay only if you use them

  4. Step 4

Add Property Agency only if you run listings, viewings, and commissions

  5. Step 5

Train leasing, facility, and finance on the real unit-to-invoice path

  6. Step 6

Go live with rent roll, lease packs, and work-order PDFs from Odoo

Engineering standards at PySquad

We configure Property Management around how you let and bill: owned vs managed, FTL-style long leases vs optional short stay, CAM and meters if you use them. Then we set Control Tower, occupancy board, rent products, and the tenant portal. Agency is added only if you run a sales or letting desk: pipeline, /properties, viewings, offers. Owner statements stay a backend switch until you actually manage for owners.

Expected outcomes

What teams plan for when scope, integrations, and release are handled as one program.

  • Occupancy and rent sit on the same unit, not in two files

  • Rent invoices come from the lease, including deposits and late fees

  • Repairs are tickets on the unit, visible to the tenant on the portal

  • Agencies can take a listing to a lease or a reservation without a second database

Solution deep dive

PySquad property software is two Odoo Solutions. Property Management is the operations desk: portfolio, applications, leases, rent in Accounting, facility work orders, Control Tower, and a tenant portal. Property Agency is the front office on top of that: CRM, website listings at /properties, viewings, offers, and commissions.

Frequently asked questions

Straight answers procurement and engineering teams ask before a build kicks off.

Property Management covers buildings, units, applications, leases, rent invoices, facility work orders, and the tenant portal. Property Agency is a second app for CRM, listings, viewings, offers, and commissions. Agency needs Management installed.

Yes. Lease lines create customer invoices in Accounting. A daily job can create rent invoices and late fees. Deposits are invoiced from the lease when you set an amount.

Yes. Tenants use /my/leases and /my/work-orders. Website is required. There is an owner portal group for statements, but there is no separate owner-statements page in the portal yet. Owner PDFs are printed from the backend."

Yes, with Property Agency. Published listings appear at /properties. The detail page can create a CRM lead. Management alone does not ship a public catalog.

No. Both apps run on Community and Enterprise. Management uses Accounting, Contacts, Calendar, Portal, and Website. Agency also uses CRM, Sales, and Website CRM.

No. Listings are your Odoo website only. There is no Zillow, Magicbricks, or MLS connector in this stack.

Yes. Both modules are on the PySquad app store. A solution engagement is for portfolio setup, tariffs, optional switches, Agency if you need it, and training.
