Addressing Stock Challenges Through Process Enhancement

Overview
The client has multiple incoming and outgoing of the goods which led them to complex stock management. To push it further, some of the stocks that go out doesn’t come back as it was originally. So, maintaining it becomes harder.
Managing stock in a highly dynamic environment posed a significant challenge for our client—one of the most reputable companies in the aviation industry. Their operational model involved products constantly moving in and out of inventory, creating complex tracking and reconciliation issues.
Continuous Stock Movement: Aviation products frequently entered and exited the warehouse, making real-time visibility and accuracy difficult to maintain.
Returned Items with Identical Lot Numbers: Items were often returned with the same lot numbers but did not always match the condition or specifications of the original shipment.
Variability in Returned Products: Due to the nature of the aviation supply chain, returned items could differ in quality, completeness, or configuration—even when categorized under identical lots.
The central challenge was to maintain accurate stock records while accommodating the inherent fluidity and unpredictability of aviation inventory. The goal was to ensure reliability, prevent mismatches, and achieve seamless tracking despite constant fluctuations.
As a customer-centric organization, PySquad Informatics approached the challenge by first gaining a deep understanding of the client’s operational workflow. We began by restructuring the existing process flow and then focused on enhancing key areas through custom solutions tailored to the aviation industry’s dynamic nature.
To introduce flexibility and improve inventory control, we enabled a single Sales Order Line to link with multiple Purchase Orders.
This enhancement made it possible to create, manage, and select from various Purchase Orders, resulting in more efficient stock and order handling.
We implemented a centralized Repair Order system capable of managing multiple products simultaneously.
This allowed the client to accommodate diverse repair scenarios with ease, ensuring quicker and more agile responses to varying repair needs.
An Exchange Order feature was developed to streamline product exchanges while enabling the system to automatically calculate and charge additional costs when applicable.
This not only simplified the exchange process but also unlocked a new revenue stream for the business.
To increase transparency and improve operational oversight, we built a comprehensive Status History Tracking module.
This system recorded every status change in the sales process, offering valuable insights into the lifecycle of each order and ensuring better decision-making.
The outcomes of our customized system were truly transformative. The newly restructured platform delivered a user-friendly, flexible, and highly efficient environment that seamlessly met every requirement across its modules.

Effortless Monitoring & Reporting: Representatives could now track stock movement, generate reports, and monitor order statuses with ease—leading to clearer, faster decision-making.
